The move will also involve moving Clowne Contact Centre, Clowne to Clowne Campus, Clowne. The move may also potentially involve our Leisure section moving from the Riverside Depot, Doe Lea to the Clowne Campus and our Housing Department moving from Sherwood Lodge to the space vacated at the Depot by Leisure Services but this will be confirmed at a later date. The Councils full requirements are contained in the Specification at Section 2 below and in Appendix 1. 1.2 The Quotation must consist of answers to all of the questions asked in the Supporting Information section below. This will not guarantee that the information will not be disclosed but will be examined in the light of the exemptions provided in the Act.  1.0 Purpose To provide removal services to an agreed standard to the council as detailed in the following sections. 2.0 Move Management and supervision 2.1 The successfully appointed removal firm will prior to the move assist in the pre-planning of the total relocation contract and will also attend pre move briefings with the move co-ordinators and the Relocation Group as and when required. 2.2 Together with the Relocation Group they will assist in formulating a precise relocation schedule/programme to detail critical and non-critical effects, time scales, responsibilities of each party and preferred sequence of events. 2.3 During the relocation period the removal firm will appoint a dedicated Move Supervisor who in conjunction with the move co-ordinators will manage the move teams to ensure that the relocation is carried out in a professional manner and to schedule. 3.0 Packing Crates The removal firm prior to the move will determine and supply enough crates to allow staff to pack all paperwork, filing and any smaller sundry items. 4.0 Equipment/Computer Crates & Anti-static Protection 4.1 The removal firm prior to the move will determine and supply enough IT crates along with anti-static bubble bags to facilitate the relocation of PCs and associated equipment without causing any damage. 4.2 The equipment/ computer crates will be packed and unpacked by the removal firm. 4.3 The hire of these crates should be included within your charges. All equipment prior to the move will be decommissioned, decontaminated where required and made ready to pack by the Council. 5.0 Detailed Labelling System 5.1 In agreement with the Relocation Group the removal firm will formulate a detailed labelling system to enable all effects to be coded prior to the physical move. 5.2 The removal firm will supply quantities of labels in advance of the move in a format to be agreed with the Relocation Group. The labels are to be made to adhere to all items and will be easily removable following completion of the move. The use of these labels will ensure that all effects are placed into their exact positions as per the floor layout which will be provided to the successfully appointed removal firm. 6.0 Dismantling and Erection of Equipment Where directed to by the move co-ordinators the removal firm may be expected to dismantle/reassemble certain pieces of equipment. The remainder of equipment will in the most part be dismantled/reassembled by Bolsover District Council Staff. Building Protection 7.1 Prior to each relocation phase the removal firm will walk the intended route with the move co-ordinators and agree where building protection is required to minimise the chance of any damage being caused during the moves. This will be installed by the removal team prior to the relocation and removed at the end of the final shift. The Removal firm should as much as possible try to recycle these protective materials through the move period. Lifts 8.1 Passenger lifts are located at all three sites and will be allowed to be used during the relocation period. The lift loads are as follows: Sherwood Lodge: 630kg (8 persons) Riverside Depot: 800kg (10 persons) Clowne Campus: 630Kg (8 persons) The removal firm will be responsible for protecting the lift cars prior to their use for removals, all protective material will be removed by the removal team at the end of each relocation phase/shift. A lift engineer can be made available during any critical move phases. Health & Safety 9.1 Health and safety is paramount during the relocation and the removal firm should provide a detailed risk assessment and produce the required method statements. Any risks deemed to be unacceptable prior and during the move should be reported to the move co-ordinators for immediate remedy to reduce the risk. Insurance 10.1 The successfully appointed removal firm should provide proof of adequate levels of insurance. Security 11.1 Security of all the buildings and Bolsover District Council equipment is paramount through out the relocation period. Bolsover District Council will be responsible for the security arrangements at all the buildings during the move. When the vehicles are being loaded and unloaded they should have a responsible person from the removal firm with them at all times, no vehicle should be left unattended. All vehicles should be fitted with anti-theft devices. Parking and Access 12.1 Parking at all the locations is free. Unobstructed and unrestricted access will be provided to the removal firm during the move at all locations. 13.0 Operational Staff and equipment All of the removal team should be quality trained in manual handling for commercial moves, they should come complete with uniforms and safety shoes, where required hi-visibility vests must be worn along with hard hats and protective cloves. Photographic ID badges should also be worn at all times. The removal firm should provide adequate vehicles and equipment to suit the type of move and the types of equipment being moved. 14.0 Other Requirements 14.1 The removal firm should be a member of BAR and provide proof of membership. The removal firm should be certified to British Standard BS 8522:2009 Commercial moving activities and provide proof of certification.
